HDesigns Company Store Maintenance Policy

Effective Date: July 31, 2026

At HDesigns, we're proud to provide custom online company storefronts that make it easy for organizations, teams, and businesses to order branded apparel and merchandise whenever they need it.

Each storefront requires ongoing hosting, software licensing, monitoring, maintenance, and support to ensure it remains secure, functional, and ready for future orders. To help offset these ongoing operational costs, the following Company Store Maintenance Policy applies.

Store Activity

A company storefront is considered inactive when no orders have been placed for three (3) consecutive calendar months.

Example:

• Last order placed: August 15

• No orders in September, October, or November

• Store Maintenance Fee begins December 1

Store Maintenance Fee

Company storefronts that remain open after three (3) consecutive calendar months of inactivity will be assessed a $20.00 monthly Store Maintenance Fee.

This fee helps cover the ongoing costs associated with:

• Secure website hosting

• Software licensing and platform subscriptions

• Store monitoring and maintenance

• Product catalog management

• Technical support and account administration

The maintenance fee allows your storefront to remain active and available for future ordering without requiring a complete rebuild.

Notification Process

Before any maintenance fee is applied, HDesigns will notify the primary account contact via email.

At that time, you may choose to:

• Keep your storefront open and continue with the monthly Store Maintenance Fee.

• Close your storefront at no cost.

• Notify HDesigns of a seasonal ordering cycle or upcoming event that may temporarily affect order activity.

Seasonal Ordering

We understand that some organizations order merchandise around annual events, certification programs, conferences, employee onboarding, or seasonal initiatives.

If your organization has a predictable ordering schedule, simply let us know. HDesigns may extend the inactivity period or temporarily waive the Store Maintenance Fee at our discretion based on your anticipated ordering timeline.

Closing Your Store

You may request to close your company storefront at any time.

There is no fee to discontinue your storefront.

If your organization wishes to reopen a previously closed storefront, additional setup, design, or administrative fees may apply depending on the scope of work required.

Policy Updates

HDesigns reserves the right to modify this policy as needed to reflect changes in operating costs, services, or business practices. Clients will be provided reasonable notice before any material changes become effective.
